POSITION: Administrative Coordinator

REPORTS TO: Director of Finance & Administration

STATUS: Full Time

WORK SCHEDULE: M-F 8:00 am – 4:30 pm

FLSA STATUS: Non-Exempt

POSITION SUMMARY

This position provides administrative, human resources, and operational support for the Evansville-Vanderburgh Airport Authority. The Administrative Coordinator coordinates office functions, supports staff, and ensures compliance with organizational policies and regulatory requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The duties listed below are representative of the work performed in this classification. They are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Performs public reception tasks. Greets and directs visitors; provides routine information or refers individuals to the appropriate person or agency. Receives, screens, and directs telephone calls; takes and relays messages. Schedules appointments, conferences, and meetings. Responds to public and customer inquiries.
  • Performs administrative coordination for board-related activities, including preparation of agendas, meeting and media notices, scheduling, and minutes.
  • Monitors and maintains compliance with insurance and licensing requirements, including tenant Certificates of Insurance, insurance renewals, liquor licenses, contracts, OSHA reporting and postings, and related regulatory obligations; manages document retention and shredding.
  • Oversees day-to-day office operations, including office equipment, supplies, and inventory records; coordinates travel arrangements and registrations for staff; maintains and updates standard operating procedures (SOPs).
  • Provides human resources support, including employee onboarding, benefit enrollments and annual updates, status changes, leave and certification tracking, pre-employment screening (drug testing, physicals, and background checks), new-employee orientation covering benefits and tax documentation, and related recordkeeping.
  • Supports airport programs (Employee Recognition and Frequent Parker Program) and manages operational tasks including lost and found, confiscated items, badging processes, and Flight Information Display System support.
  • Composes, prepares, and processes correspondence, reports, forms, and other administrative documents for general distribution or management approval; maintains confidentiality of proprietary, personnel, and medical information.
  • Coordinates and conducts facility tours; assists in coordinating speaking events and community engagement opportunities for Airport Administration leadership.
  • Tracks and logs customer service inquiries to support FAQ development and website content improvements; maintains various contracts and agreements (e.g., Q Factor, amenity room sponsorships).
  • Maintains contact lists and distribution lists for business leaders, elected officials, and other key stakeholders.
  • Performs general administrative support tasks across departments.

JOB REQUIREMENTS

  • Working knowledge of department functions and standard office procedures; ability to operate standard office equipment including computers, telephone, copier, and calculator; proficiency in Microsoft Office products.
  • Knowledge of standard filing systems; ability to create and maintain accurate files and records and compile data into detailed reports.
  • Knowledge of standard English grammar, punctuation, and spelling; ability to perform basic arithmetic calculations.
  • Ability to communicate effectively with the public in a courteous, professional, and tactful manner.

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent; vocational/technical training in computer applications, word processing, database development, or secretarial skills preferred. Three to five years of progressively responsible clerical or administrative experience, or any equivalent combination of education and experience. Basic accounting skills and cash handling experience preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and demonstrated customer service skills.
  • Successful completion of a pre-employment physical and drug screen.
  • Ability to pass a background security check to obtain and maintain a Security Identification Display Area (SIDA) badge.

Language Ability and Communication

  • Ability to analyze, categorize, compare, and transcribe data and information in relation to established criteria and standards.
  • Ability to advise and interpret for others how to apply policies, procedures, and standards to specific situations.
  • Ability to utilize a wide variety of reference and advisory materials, including FAA guidelines, invoices, leases, billing statements, time sheets, requisitions, purchase orders, budget reports, expense reports, the employee handbook, and general operating manuals.
  • Ability to communicate orally and in writing with department personnel, board members, airlines, vendor representatives, council members, news media representatives, and the general public.

Mathematical Ability

  • Ability to add, subtract, multiply, and divide; calculate percentages, fractions, and decimals.

Judgment and Situational Reasoning

  • Ability to use functional reasoning and apply rational judgment in performing diversified work activities.
  • Ability to plan and direct interrelated activities across multiple departments; ability to work through concrete and abstract variables to develop solutions to complex problems.
  • Ability to exercise judgment, decisiveness, and creativity in situations requiring evaluation of information against subjective or judgmental criteria.

Physical Requirements

  • Lifting up to 20 pounds maximum, with frequent lifting and/or carrying of objects weighing up to 10 pounds.
  • Intermittent standing, walking, sitting, and driving.
  • Repetitive use of hands for grasping, fine manipulation, pushing, pulling, and operating controls.
  • Occasional bending, twisting, squatting, climbing, and reaching.
  • Ability to distinguish sounds at various frequencies and volumes.
  • Ability to recognize and identify similarities or differences between colors, shapes, sounds, odors, and textures associated with job-related tasks.

Working Conditions

  • Work is performed primarily indoors in a standard office environment. Exposure to environmental factors such as repetitive keyboard use and occasional contact with upset individuals poses a very limited risk of injury.
